About the Associated Students of UCSD (ASUCSD)

The Associated Students of the University of California, San Diego are the elected and appointed representatives of the UC San Diego student body. The ASUCSD works to promote student engagement through its services and leadership opportunities. About the Sr. AVP Concerts & Events: ASCE Coordinator

The purpose of Associated Students Concerts & Events (ASCE) shall be to provide a variety of concerts and events for the enjoyment, education, and enrichment of the entire campus community. ASCE is dedicated to producing a substantial number of diverse, high-quality programs including music, comedy, film, dance, speaker, and social events on the UCSD campus. ASCE creates a learning experience for its members that aims to benefit the ASUCSD as well as the personal and professional growth of the students involved.

Goals and Projects for 2017-18
  • ASCE shall work to create a financially sustainable Sun God Festival.
  • ASCE shall expand and develop the Special Events series.
  • ASCE shall continue to strengthen relationships with other orgs and campus departments.
  • ASCE shall sustain an internal spirit of community and passion for events on the UCSD campus.
  • ASCE shall maintain a balance between preserving current campus traditions, and embracing the creation of new campus traditions.
  • ASCE shall foster a safe and exciting environment for the student body at all ASCE events.
  • ASCE shall continue to provide opportunities for student performers.
  • ASCE shall develop the ASCE brand on campus, within the San Diego music scene, and in other California Universities.
  • ASCE shall implement an effective intern structure that focuses on the professional development and retainment of ASCE members.

General Requirements:

  • All staff member shall attend weekly staff and general body meetings. For the 2017-2018 academic year, staff meetings will be held on Mondays at 2 PM and general body meetings will be held on Mondays at 4pm (subject to change).
  • All staff members must be available for Staff Orientation and Retreat at a later determined date.
  • All staff members shall be present at all ASCE events.
  • All staff members shall assist with marketing and the execution of all ASCE events.
  • All coordinators shall submit weekly department updates to their department Director.
  • All coordinators shall be responsible for completing weekly marketing requirements.

Digital Marketing Coordinator (1)

  • Must attend at least 5hrs of tabling every week
  • Must attend at least one off-campus promotional session with other members each quarter
  • Shall be responsible for creating and maintaining an online presence through ASCE digital outlets.
  • Shall lead in posting and sharing promotional material to various social media platforms.
  • Shall utilize all social media such as Facebook, Instagram, Twitter, and Snapchat
  • Shall utilize external event advertising sites such as Eventbrite, Discover SD, San Diego Reader, etc.
  • Shall utilize campus advertising outlets such as Student Events Insider and the UCSD Event Calendar
  • Shall lead and maintain the ASCE Email Newsletter through Mailchimp
  • Shall help delegate responsibilities to Marketing Interns
  • Shall be responsible for working with the Marketing Team to develop new and unique marketing plans
  • Shall work closely and collaborate with Specials team
  • Shall work with the Director of Marketing & Staff Development to ensure member retention and engagement.

Event & Print Marketing Coordinator (1)

  • Must attend at least 5hrs of tabling event every week
  • Must attend at least one off-campus promotional session with other members each quarter
  • Shall lead in maintaining and developing ways to promote at both on-campus and off-campus locations
  • Shall strategize an effective poster distribution schedule for both on-campus and off-campus locations
  • Shall utilize off-campus locations such as SDSU, Downtown San Diego, concert venues, etc.
  • Shall utilize on-campus marketing services such as display cases, PC Marquee, PC table tents, etc.
  • Shall be responsible for adequate staffing of tabling events and both on-campus and off-campus promotional sessions
  • Shall be responsible for the inclusion of all six colleges/The Village and their respective Res. Life Offices
  • Shall help delegate responsibilities to Marketing Interns
  • Shall be responsible for working with the Marketing Team to develop new and unique marketing plans
  • Shall work closely and collaborate with Specials team
  • Shall work with the Director of Marketing & Staff Development to ensure member retention and engagement.

Festivals Coordinator (2)

  • Shall be available for at least 4 hours per week for Festivals Meetings.
  • Shall have excellent communication skills.
  • Shall assist with sponsor acquisition and strategic partnerships throughout the 2017- 2018 academic year for the ASCE festivals.
  • Shall oversee at least 1 Sun God committee
  • Shall assist with lineup procuration for Sun God Festival, which includes booking, negotiation, and contracting of artists.
  • Shall uphold the interests of the student body in regards to Hullabaloo and Sun God Festival curation.
  • Shall collaborate with AS Graphic Studio, Student Health Services, and other campus partners to launch health and safety campaigns for both Hullabaloo and Sun God Festival.
  • Shall conduct thorough research to create new activities for Hullabaloo and Sun God Festival.
  • Shall work with the Marketing and Staff Development team to oversee Hullabaloo and Sun God Festival marketing campaigns.

Bear Garden Coordinator (1)

  • Shall curate all aspects of the Bear Garden event series, including Senior Sendoff Bear Garden.
  • Shall assist with sponsor acquisition and strategic partnerships throughout the 2017- 2018 academic year for the Bear Garden event series.
  • Shall work with the Director of Marketing and Staff Development to ensure all Bear Gardens are properly staffed.
  • Shall work with the Marketing and Staff Development team to oversee Bear Garden marketing campaigns.
  • Shall schedule weekly meetings with the Bear Garden Director.
  • Shall report to the Bear Garden Director for approval on all aspects pertaining to Bear Garden and Senior Sendoff Bear Garden.
  • Shall negotiate and coordinate food vendors for the Bear Garden event series.

Special Events Coordinator (2)

  • Shall attend all Special Events during the 2017-2018 school year.
  • Shall be available at least 3 hours a week to attend team meetings and meet with the Special Events Director (as needed).
  • Shall possess professionality and excellent communication skills to liaise with student volunteers, organization representatives, industry contacts, etc.
  • Shall assist the Special Events Director to curate a comprehensive, diverse, and exciting calendar of events.
  • Shall take into account all student opinions and desires when booking artists and programming events.
  • Shall work to bring additional funds to the Office of Concerts & Events through the coordination of Public Ticket Events.
  • Shall work closely with Special Events team and interested individuals to create and execute new and exciting events for the student body.
  • Shall present all potential events, artists, vendors, etc. to the Special Events Director for approval.
  • Shall work closely with Marketing & Staff Development team to develop and execute effective marketing campaigns for Special Events.
  • Shall be expected to utilize a variety of on campus venues for these events (i.e. The Loft, Sun God Lawn, etc).
  • Shall work in conjunction with interested individuals and organizations to plan new and diverse programming.
